This article helps you open registration and decide how waitlists, payment at enrollment and registration waves work.
Plan: All plans. Registration waves need Grow and Thrive.
Before you start
- Your semester (or session) has its registration dates and classes.
- Payments are set up: Stripe connected, or Offline chosen.
Choose pay to enroll (optional)
- Go to Settings → How families pay.
- Under Require payment at enrollment?, switch to Pay-to-enroll: On, or leave Pay-to-enroll: Off (enroll now, invoice after).
- Click Save Payment Settings →.
With pay to enroll on, a child's seat is held but not confirmed until the fees due at enrollment are paid. Monthly tuition never blocks enrollment. Programs that collect offline never hold seats this way.
Set up waves (Grow and up)
- Open the semester and go to the Registration tab.
- On Registration waves, click Set up (or Change).
- Pick waves such as Staff and teachers, Returning families and Everyone. You can add Siblings of registered students, or + Add a priority list of families you pick.
- Give each wave a date and time, then click Save waves.
A family registers once, from its earliest wave. New families approved from your website join the Everyone wave.
Open registration
- Go to Semesters, select the semester, and click Open registration.
- Confirm. Families can sign up right away.
What happens next
When a class is full, families can join its waitlist. When a family drops, LearningSense emails the next family on the waitlist that a spot opened.
To hold a seat for one family, open the class, go to its roster, and use the Waitlist card. Choose Hold a seat for 24, 48 or 72 hours, then click Offer seat. The family gets an email with an Enroll link. Use Take back to cancel, or Offer to next to move on.
On the Registration tab, the Not back yet card lists last term's families who haven't registered. Tick families and click Send reminder. Families who turned off reminder emails are skipped.
Common problems
- Can't add waves? Set the semester's Registration opens date first.
- Offering a seat in a full class? The family can only finish enrolling once a seat opens or you raise the class size.
