Import families, or switch from Homeschool-Life or spreadsheets

This article helps you bring all your families and children in at once from a spreadsheet or a Homeschool-Life export.
Before you start
- Your file is Excel (.xlsx or .xls) or CSV, with up to 1,000 rows (up to 300 families and 400 children per import).
- Use one row per child with the parent's email on every row, or one row per family with Child 1, Child 2 columns.
- Every family needs a parent email, and your plan needs room for them.
Steps
- Go to Families & students and click Import spreadsheet.
- Under Upload your list, click Choose a file. Starting from scratch? Click Download our template first.
- On Match your columns, check what each column goes into. A Homeschool-Life export is matched for you. Pick Not used for anything you don't want to bring in.
- On Review and add, read any warnings and rows that will be skipped.
- Tick the box confirming you have the families' permission, then click Check with your co-op.
- Click Add (it shows the number of families and children).
What happens next
No emails go out yet. You land on Families & students with the new families under Invite not accepted. Click the Send all button to email every family its invite (this works on every plan for families you imported), or share your signup link. Parents then confirm their children. Imported families nobody claims are removed after 180 days.
Health, allergy and pickup columns are never imported. Parents add those themselves.
Switching checklist
- Export your family list, then import it here.
- Set up your semester and classes before you send invites.
- Tell families to watch for the invite email.
Common problems
- It says Couldn't read this file.? Save it again, or save it as CSV, and upload again.
- Some columns are listed as not imported? LearningSense can't store those columns, so they are left out. Your file keeps them.
- It says addresses or directory choices are not saved yet? The families and children still import. Those details save after an app update.
- A family is listed under Already in your co-op? Members are skipped. A family with an invite keeps it, and the new children are added to it.
