Create a semester, session or term

This article helps you set up a semester (or session), with its dates, registration window and fee.

Before you start

  • You are a director.
  • To open registration later, payments must be set up: Stripe connected, or Offline chosen on Settings → How families pay.

Steps

  1. Go to Semesters and click New semester.
  2. On Build your semester, enter the Semester name, Start date and End date.
  3. Set Registration opens and Registration closes. Families can only enroll in classes during this window. Registration must open on or before the start date.
  4. Under Semester fees, choose a Semester fee basis: Per child (charged once per enrolled child) or Per family (charged once per family). Enter the amount, or leave it blank for no semester fee.
  5. Add Notes for families if you like.
  6. Click Save and add classes to go straight to your class list, or Save as draft to finish later.

What happens next

A new semester starts as a draft, so families can't see it yet. When your classes are ready, select the semester on Semesters and click Open registration. After you confirm, families can sign up right away, and the name and dates can't be changed.

Later, use More to change its status:

  • Close registration: families can't add or drop classes until you reopen it.
  • Reopen registration: families can add and drop classes again.
  • Archive (once registration is closed): moves it out of your lists. You can unarchive it later.

Each semester has tabs for Enrollment, Details, Waitlists and Registration.

Common problems

  • Open registration is grayed out? Click Set up payments to open registration and finish payment setup.
  • It says Registration must open before it closes.? Check the two registration dates.
  • Need to change the name or dates after opening? They are locked once registration opens. Check them before you open.
  • Add classes: grades, sizes, days, times, fees and rooms
  • Open registration: waitlists, pay to enroll and waves
  • Connect Stripe and choose online, offline or both
