This article shows you when online payments reach your bank, how to export payments, and how to read your finance reports.
Plan: Payouts on all plans. Reports and the QuickBooks export: Grow and Thrive.
Before you start
- You are the program's owner or a co-director. Only the owner sees Payouts.
- Stripe is connected under Settings → How families pay.
Check payments and payouts
- Go to Finances → Payments. The tiles show Received, Fees, Net and Clearing.
- Filter by date, method (Bank, Card, Cash, Check, Other) or status (Clearing, Received, Failed, Refunded).
- Click Payouts to open your Stripe dashboard and see each deposit to your bank.
Export for QuickBooks
- On Finances → Payments, set the filters you want.
- Click Export for QuickBooks. A CSV file of the payments you filtered downloads.
- For invoices instead of payments, go to Finances → Reports, pick a term, and click Invoices for QuickBooks.
Read your reports
Go to Finances → Reports. The tiles show Billed, Collected, Clearing and Still owed. Below are By month, By class or fee and Who owes. Pick a term to narrow it, or leave All terms.
What happens next
- Bank payments take 3 to 5 business days to clear; card payments clear right away.
- Received means the money is in your Stripe balance. After a payment clears, Stripe sends it to your bank on its payout schedule.
- Your first payout after connecting Stripe usually takes 7 to 14 days.
- Fees marked ~ are estimates until the payment settles. See Fees and payment timing.
Common problems
- No Payouts button? Stripe isn't connected yet, or you are a co-director (only the owner opens Payouts).
- See Export (Grow plan) or "Reports and the QuickBooks export come with the Grow plan."? Upgrade to Grow or Thrive to use them.
- Cash and check payments don't reach Stripe. Record them with Record payment so your reports stay right.
