Autopay for your families

This article explains how autopay works for your families, what they see, and what to do when a charge fails.
Plan: Grow and Thrive.
Before you start
- You collect payments online through Stripe. Autopay is not offered when your program collects offline.
- Your classes use monthly tuition, and your billing day is set in Settings → Billing schedule.
- Families turn autopay on themselves. You can't turn it on for them.
How families turn it on
- The family opens Payments in their menu.
- On the autopay card they click Set up autopay and save a bank account or card.
- The card then reads Autopay: On. They can switch it off there, or use Update payment method to change the bank or card.
What happens next
- Charges run once a day, early on the morning after your billing day (most US time zones). LearningSense charges the monthly invoice to the saved bank account or card. Families without autopay are asked to pay from their portal.
- The family sees their finalized invoice as Scheduled. They can still click Pay early instead.
- On the family's record (Families & students, then the family), you see an Autopay status and the bank or card they use.
- Autopay charges the monthly invoices LearningSense creates on your billing day. Invoices you send by hand and fees paid at enrollment are paid by the family as usual.
- Bank payments take 3 to 5 business days to clear; card payments clear right away. See Fees and payment timing.
Common problems
- A charge failed? The invoice shows Charge failed in Finances → Invoices. You get an email with the reason, and the family is asked to pay. Autopay does not retry that invoice, so the family pays it from Payments.
- Got an email that autopay needs reconnecting? A family's saved bank or card can't be charged for the next billing day. They have been emailed too. Ask them to use Update payment method.
- A family can't find autopay? Your program is on Free or Sprout, or collects offline. Autopay appears on Grow and Thrive with online payments.
