Data, privacy and COPPA

This article explains what LearningSense collects, who can see it, and what to tell parents.

What is collected

• Parents' names, email addresses, phone numbers and addresses.
• Each child's name, birth date, grade, classes and attendance.
• Health and safety details a parent enters, such as allergies, medications, emergency contacts and pickup notes.
• Payment status from Stripe. LearningSense does not store full bank account or card numbers.

Who can see it

• You, the director, and your co-directors: every enrolled child's full profile, including health details. Co-directors can't refund, open payouts or change the Stripe bank connection.
• Teachers: students in their own classes, and only the health, safety and pickup details each family shares (all are shared by default). You choose whether they see parent email and phone in Settings → What teachers see.
• Other families: only what a family shows in the directory. Children's first names appear only if the family opts in.
• Anyone: only what you publish on your program website. It never shows a child's name, age, grade, health details or other records.
• Messages: you can read Everyone, class and group conversations, but not direct messages between other people.

Children and COPPA

• Accounts are for adults 18 and older. Children don't sign in.
• A family you add or import before they join can't have health, allergy or pickup details until the parent joins and confirms each child.
• Each parent sets a photo choice for their child. Teachers see a No photos tag when a parent says no. Honor it when you share photos.
• LearningSense never sells children's information, uses it for advertising, or uses it to train AI models. It complies with applicable children's privacy laws, including COPPA.
• Parents can review, correct or delete their child's information in their account or at support@learningsense.org.

A paragraph for your parents

When you add families, you confirm you told them you use LearningSense. You can copy this into your handbook:

Our program uses LearningSense for registration, classes, payments and messages. You enter and control your children's information, and teachers see only the health details you share. LearningSense does not sell your information or use it for advertising. You can review or delete your child's information at any time. See learningsense.org/privacy-policy.

What happens next

• To get a copy of your data, go to Settings → Privacy & data and click Download My Data, then Request Export. A download link arrives by email within 24 hours.

Common problems

• A parent wants their child hidden from teachers? They change it in their child's settings. You can't change it for them.
• Someone wants a photo of them or their child taken off your website? Remove it, or they can write to support@learningsense.org.
